Ayesa continues to bring excellence to learning management systems

Ayesa has established a Learning Office at the Bilbao Chamber of Commerce University Institute which enables the Institute to supervise its Learning Management System (LMS) autonomously.

Since 2009, the Bilbao Chamber of Commerce University Institute (EUCCB) has partnered with Ayesa to provide E-learning services.  Initially, Ayesa implemented the learning management platform “Moodle” at the Institute, which offers a BA in Business Management and Marketing through the University of the Basque Country. Ayesa also provided users/admin support/outreach including students, teaching staff and administrative staff.

As part of the program, Ayesa personalized Moodle to fit the Institute’s requirements. The project team also devised the necessary corrective and adaptive maintenance tasks, implemented upgrades, and managed the migration. Ayesa was also responsible for the management of ongoing deployment and adoption by devising a communication strategy, arranging user training sessions, and measuring the utilisation rates.

Over the past the 12 years, the needs of the EUCCB changed and as a true partner, Ayesa worked hand-in-hand to provide solutions to fit these changing requirements.

Following the implementation of the Learning Management System, the Institute wanted to manage the platform inhouse including its usage strategies, development and roll-out. This resulted in the formation of a Learning Office, which is equipped with the essential tools, mechanisms, and processes to ensure that the EUCCB can fully realise the potential of the Learning System. Ayesa also worked on the appropriate procedures so that the Institute can self manage the Moodle platform, including utilisation and adoption without help from an IT partner.   As part of this process, Ayesa migrated the platform onto EUCCB’s infrastructure and conducted a comprehensive post-implementation evaluation. This evaluation aimed to bring innovation and enhancements to the Institute’s learning management system.   Ayesa will remain a valued partner to the Institute providing ongoing help and assistance in relation to updates and maintenance.

Continuous improvement

To enhance the overall system performance, Ayesa has incorporated social media and gamification elements. Platform accessibility across various devices is facilitated by the latest version of Moodle.  Another worthwhile addition by Ayesa includes the integration of student and Alumni communities into Moodle. The company has also revamped the platform’s aesthetics, design, and user-friendliness, establishing a cohesive brand identity. This involved devising a branding strategy and modifying Moodle to function effectively as an academic management platform.

According to the project leaders at Ayesa, “Through close collaboration with the EUCCB, we’ve gained invaluable insights into the institute, its requirements, and best practices. The project has truly exemplified the spirit of cooperation. Consequently, we’ve developed streamlined learning and teaching processes, drawing from the expertise of both EUCCB’s educators and our team.”

Each of these processes is accompanied by its respective KPI, facilitating regular system monitoring and pinpointing areas primed for enhancement.

 

Results

The project has significantly enhanced the way the institute delivers teaching and students learn by:

  • fostering and improving communication and collaboration between teaching staff and students, as well as teaching and the administration;
  • and making document management more efficient due to its flexibility, which allows it to be used in parallel with in-person teaching.

Furthermore, the platform is now used by all teaching staff and students, and there is always a support person available.

The project has also resulted in the automation of certain administrative and academic procedures, meaning greater efficiency. The fact that the associated cost is not excessive means many more procedures will undoubtedly be digitalised in the future.
